Regulations of SIA RĪGA TULKO JUMS on the Minimum Requirements for the Protection of Personal Data in accordance with Cabinet Regulation No. 40 “Mandatory Technical and Organisational Requirements for the Protection of Personal Data”, the Personal Data Processing Law of the Republic of Latvia, and Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (Text with EEA relevance).

- The legal entity acting as the controller of the collected and processed personal data is SIA RĪGA TULKO JUMS (Unified Registration No. 40003824737), hereinafter referred to as RTJ.
- These Regulations establish mandatory technical and organisational requirements for the protection of personal data which RTJ must comply with when collecting and processing personal data.
- Clients’ personal data are processed in order to provide high-quality translation services and efficient customer service.
- For the purposes of these Regulations, a Client is a natural person whose data, upon placement of an order, are collected, processed, and stored for the proper provision of translation services.
- The Client expressly and unequivocally consents to the transfer, processing, and storage of their personal data by RTJ in accordance with these Regulations by signing the Order Acceptance Form (when physically visiting the RTJ office at Brīvības iela 73, Riga), by entering their data into the electronic order form on the website www.rigatulkojums.lv, or by concluding a cooperation and confidentiality agreement with RTJ. If a Client places an order by email, then by confirming the translation and sending documents electronically, the Client consents to the processing of the personal data contained in the submitted documents.
- The Client may withdraw consent to the processing and storage of their personal data at any time by notifying RTJ in writing by submitting an application to SIA RĪGA TULKO JUMS, Brīvības iela 73, Riga, LV-1010, or by sending an email to: [email protected].
- These Regulations apply to personal data provided by the Client to RTJ when placing an order and submitting documents, including data contained in documents submitted for translation and data contained in the Client’s bank details.
- RTJ reserves the right to retain client data for the purposes of providing translation services, ensuring high-quality customer service, issuing invoices, and maintaining proper accounting records.
- If the Client has agreed in the Order Acceptance Form to receive informational materials about RTJ news and promotional offers, the Client has the right, in accordance with the Information Society Services Law, to opt out of receiving such materials by sending a request to [email protected] or by SMS to +37122030112.
- To contact Clients, RTJ uses email, SMS messages, mobile telephone communication, and postal services. Official RTJ email senders include [email protected], [email protected], and [email protected]. The SMS sender number is +37122030112. RTJ periodically uses social media platforms for marketing purposes.
- Upon accepting an order, RTJ registers the following data:
- Client’s first name;
- Client’s surname;
- mobile phone number;
- email address;
- indication of whether the Client wishes to receive RTJ informational materials (commercial offers);
- bank details (if payment is made by bank transfer);
- documents submitted for translation may contain personal and confidential data of the Client (e.g., personal identification number, nationality, religious affiliation, marital status, etc.);
- in certain cases, additional personal information necessary for ensuring accurate and timely translation and/or other services may be requested from the Client.
- RTJ ensures physical protection of Clients’ documents by storing them in a safe within alarm-equipped premises, and ensures electronic security by protecting computers and data storage systems with antivirus software and password protection (accessible only to RTJ employees). RTJ also ensures that authorised persons responsible for collecting and processing personal data, as well as translators engaged under cooperation agreements, implement at least equivalent data protection measures as provided in these Regulations. To safeguard data processed by partners, RTJ uses written agreements and other appropriate measures.
- RTJ undertakes not to obtain or process data that are not necessary for providing translation or other services offered by RTJ.
- RTJ undertakes to ensure the security and confidentiality of information provided by registered Clients in accordance with applicable laws and regulations and monitors compliance with such regulations.
- RTJ treats the right to privacy with utmost seriousness and undertakes to safeguard and not disclose your personal information in compliance with the laws of the Republic of Latvia and the European Union. Personal data will never be sold or used for unlawful purposes.
- RTJ undertakes to maintain confidentiality of information related to the Client’s commercial or other activities and of personal data obtained through the provision of translation and proofreading services, except where such information must be disclosed to state authorities, local government institutions, or law enforcement authorities in cases provided by law, to the extent and in the manner prescribed by applicable legislation.
- Personal data are stored for 24 months. After this period, personal data are deleted from storage media and RTJ email systems.
- In the event of a change of the authorised person responsible for processing personal data, all passwords for data storage media, alarm systems, safes, and email accounts shall be changed.
- Any disputes arising in connection with these Regulations shall be resolved between the Client and RTJ through mutual negotiations. If such negotiations fail, disputes shall be settled in accordance with the laws of the Republic of Latvia in a court of the Republic of Latvia.
